Booking a Tiny Fleet party is simple, but a few fine-print rules keep things running smooth. Here's what to know before you secure your date.

Who we are and booking your party Tiny Fleet Parties is operated by Mrs Karla Garner, trading as Tiny Fleet Parties, at 72 Ashbury Drive, Weston-super-Mare, BS22 9QL. Email: karlalgarner@gmail.com. Telephone: 07353 058540. The party hire price is £299 for two hours or £349 for three hours, payable in full when booking. Your booking is confirmed when payment has been received and we send your booking confirmation email. The confirmation records your package, date, start and finish times, and venue details. Please check your confirmation and tell us promptly about any errors. The person booking must be aged 18 or over and must appoint a responsible adult to act as party supervisor. Travel charges and the refundable damage deposit are additional to the party hire price. The applicable travel zone and charge must be disclosed and agreed before the booking becomes binding. If venue details are supplied after payment, we will confirm the travel charge before final acceptance; if you do not accept it, we will refund the booking payment in full. We supply the equipment agreed for your package. At handover, we provide an equipment inventory, checked and agreed with the party supervisor, together with the safety information. 2. Cancellations If you cancel 14 days or more before the party start time, we provide a full refund of the party hire payment. If you cancel less than 14 days before the party start time, our cancellation charge is 50% of the agreed party hire price, subject to it not exceeding our reasonable losses caused by the cancellation. We reserve limited dates and times specifically for your party. We will take account of costs saved and any replacement booking that reduces those losses, and refund more where appropriate. Please cancel in writing using the contact details on our website or booking confirmation. Refunds due will normally be made to the original payment method within 14 days of cancellation. The damage deposit is not a cancellation charge. Where these terms refer to a late cancellation, this section applies. 3. Travel charges Travel is free within a 10-mile radius of our business address. Further-away venues incur the charge shown by the travel zones and map on our Pricing page. Parties more than 30 miles away are by individual quote. Please provide the correct venue address when booking. We confirm the applicable charge with you in writing. Travel charges are payable on arrival, alongside the damage deposit. A change of venue may change the charge and must be agreed with us in advance. 4. Refundable damage deposit A £100 refundable damage deposit is payable in cash or by bank transfer on arrival, before handover. We inspect and check the equipment with the party supervisor at delivery and collection. The deposit is returned at the end of the party when the equipment has been returned as required. Cash is returned at collection; a bank-transfer return is initiated at collection, although bank processing may affect when it reaches your account. We may deduct reasonable costs for damage or loss caused by misuse, failure to follow the supplied safety instructions, or failure to take reasonable care of the equipment during hire. We do not charge for ordinary wear and tear, existing damage or equipment faults not caused by the customer or guests. Any deduction is limited to reasonable repair costs or fair replacement value, allowing for the equipment’s age and condition. We explain deductions at collection and provide supporting photographs or cost details where needed. Any undisputed deposit balance is returned promptly. Your total liability for damage to or loss of our hired equipment under this clause is capped at £100; we will not charge additional equipment damage or loss costs above that amount. 5. Your party space You must provide a safe, flat, dry space of at least 10 metres by 10 metres for the vehicles and activities. Outdoor use requires short, dry grass, clear of mud, dog mess and other hazards, and a surface suitable for the supplied vehicles. Keep the operating area away from roads, ponds, pools, steps and steep slopes. The party supervisor must keep the area safe throughout the hire and stop use if conditions become unsafe. 6. Parking and access - very important Our vehicles are large and heavy and arrive in a large trailer. We must be able to park the trailer right outside the venue, next to the entrance or party space, and move the vehicles into the area along a wide, clear route without narrow corridors or tight corners. Some vehicles are moved using sack trucks or wheeled pallets, so step-free access is preferred. A small threshold or a single low step may be acceptable, provided you tell us about it before booking and we confirm that we can manage it safely. Multiple steps or flights of stairs are not suitable. Please send photographs and measurements of any threshold or step so we can assess access in advance. Please check access and parking permissions with your venue before booking. A side door or fire exit may provide suitable access with the venue’s permission, but emergency exits and escape routes must remain usable and unobstructed. Tell us accurately about any access issues when booking. If the access or parking differs materially from the information you supplied, or an agreed requirement has not been met, and we cannot safely set up, this may be treated as a late cancellation under section 2. We will discuss any practical alternative with you. We will not treat access arrangements we expressly accepted, accurately described by you, as your cancellation solely because those arrangements are unsuitable. 7. Set-up and pack-down Allow approximately one hour before the party for set-up and one hour afterwards for pack-down. Someone must be present to greet us one hour before the party starts. Your venue hire must include both periods. The two-hour or three-hour party duration is separate from set-up and pack-down. Customer or venue delays may reduce usable party time where we cannot extend the agreed collection time. We are not responsible for time lost because you or your venue have not allowed the agreed access periods, except where we contributed to the delay. 8. Outdoor parties and wet weather Vehicles must not be used in rain, on wet grass or on wet floors. Outdoor bookings require a contingency plan providing a safe, sufficiently large, dry operating area that also meets our access requirements. Cover alone is not suitable if the ground or floor remains wet. For outdoor parties, we will contact you before delivery, taking account of the forecast, to discuss your contingency plan. You remain responsible for arranging the agreed backup space. If rain begins, stop use immediately, switch off the vehicles, move the children away and cover all vehicles immediately or move them to suitable dry shelter. Keep tarpaulins out of children’s reach and never allow children to remain in or play under covered vehicles. Do not resume use if equipment is wet; contact us for guidance. We will confirm before the party whether covers are being supplied. If you have not provided the agreed safe, dry space and we cannot set up, section 2 may apply. We will offer a different date where available, but availability is not guaranteed. If we cancel because severe weather makes our own delivery unsafe, sections 14 and 15 apply instead. 9. Handover and safety briefing Before handover, the party supervisor must attend our safety briefing, agree the equipment inventory and receive the written safety instructions. The supervisor must ensure all supervising adults understand and follow them, including any individual vehicle restrictions explained at handover. 10. Supervision This is unattended equipment hire. We leave after set-up and handover and return to pack down. We do not provide party supervision. A responsible adult must actively supervise children at all times while equipment is being used. The party supervisor is responsible for arranging enough suitable adults to supervise the number of children and activities safely, maintaining the operating area, and stopping unsafe use. 11. Safety rules Our parties are intended for children approximately aged 2 to 7. The maximum permitted weight is 30kg, or any lower limit specified for an individual vehicle. Individual age and use restrictions in the supplied safety instructions also apply. These are not bumper cars: no deliberate crashing, forceful collisions, climbing on roofs, standing while riding, or extra passengers. One child per vehicle seat, only where the vehicle is designed for that number of passengers. Adults must not ride the vehicles. Children must never be lifted or carried in digger buckets or forklift attachments. Closed shoes must be worn. Hard hats are dress-up props, not protective safety equipment. Follow the written safety rules and briefing, keep children clear of moving parts and vehicle routes, and stop use immediately following a fault, suspected damage or unsafe conditions. Equipment must stay at the agreed venue and must not be modified. 12. Batteries and equipment Our powered vehicles originally had a runtime of around 60 minutes with their standard batteries. We have upgraded their batteries to extend the expected runtime to approximately 90 to 120 minutes of continuous use on a flat, dry surface. This runtime is an estimate and cannot be guaranteed. Actual runtime varies by vehicle, battery condition, child's weight, surface, gradient and style of use. “Continuous use” means the vehicle's powered functions are being used without substantial breaks, for example driving repeatedly throughout that period. It refers to powered operating time, rather than the total length of the party. During a mixed-activity party, children may get in and out of vehicles, load and unload, swap vehicles and play with the other equipment. Time spent with the powered functions stopped uses less battery than driving, so powered use may be spread across a two-hour party. These pauses do not recharge the battery, and we cannot guarantee that every vehicle will remain powered until the party ends. For example, a vehicle driven almost constantly by one child, particularly on grass or with frequent starts and stops, may run out of battery sooner than one used intermittently on a smooth, flat, dry surface. Taking turns and enjoying the full range of activities helps spread powered driving time across the party. A two-hour or three-hour booking does not include a promise that every powered vehicle will operate continuously for the whole hire. The package includes other vehicles and role-play activities, as agreed, so the party is not dependent on continuous use of one powered vehicle. Vehicles must not be tampered with or taken apart. Customers must not remove batteries or attempt charging. If equipment stops working, stop using it and contact us using the details supplied at handover. We cannot promise an on-site replacement during the hire. This does not affect your statutory rights if equipment is faulty or the agreed service is not provided. 13. Changes to bookings Contact us as soon as possible if you want to change your date, time, venue or package. Changes depend on availability and our written agreement. We confirm any resulting price or travel-charge change before you accept it. If no change is agreed, the original booking remains in place; cancellation is governed by section 2. 14. If we cancel If we have to cancel, for example because of illness or transport breakdown, you may choose an available alternative date or a full refund of payments made to us for the cancelled booking. You do not have to accept a replacement date. This does not affect any other rights you have under consumer law. 15. Events outside our control If circumstances outside our reasonable control, such as severe weather, road closures, accidents or emergencies, affect delivery, we will contact you as soon as reasonably possible and take reasonable steps to reduce the disruption. If we cannot provide the party, we offer an available alternative date or a refund for the service not provided. If only part of the agreed hire can be provided, we discuss an appropriate refund for the affected part. This clause does not remove your statutory rights. 16. Insurance and responsibility We hold public liability insurance that covers unattended hire of our equipment. Customers are responsible for supervision and following the agreed safety instructions. We remain responsible for loss or damage caused by our negligence or breach of contract to the extent required by law. Customer failures to follow the safety rules or supervise appropriately may affect responsibility where they caused or contributed to the loss, injury or damage. Nothing in these terms excludes or limits liability for death or personal injury caused by our negligence, fraud, or any liability that cannot lawfully be excluded or limited. Nothing in these terms affects your statutory consumer rights. 17. Our team Our family team members hold enhanced DBS checks. Our business insurance covers their work for Tiny Fleet Parties. Two members of our team have completed paediatric first-aid training. These statements do not mean that a first-aid-trained person will remain at the party. This is unattended hire, and the customer remains responsible for supervision and their party’s emergency arrangements. 18. Your information and photographs We use booking and contact information to manage your party, communicate with you, maintain necessary business records and meet our legal obligations. Relevant service providers, such as our website, booking and email providers, may process that information on our behalf. Payments are handled by our payment processor, which processes payment information under its own applicable privacy arrangements. We do not receive your full payment-card details. Our separate Privacy Notice explains our use of personal information, retention and your rights. We do not photograph children at a party without prior permission from each child’s parent or guardian. We obtain separate permission before using any photographs for our website, social media or other promotional purposes; agreeing to these booking terms does not give that permission. Before publishing photographs online, we blur all children’s faces for their privacy and safety. You can decline photography or promotional use without affecting your booking. Please see our Privacy Notice for details, including how to withdraw consent. 19. Questions and complaints Please contact us promptly during the hire if there is a problem so we can advise where possible. If you remain unhappy afterwards, please contact us, preferably within seven days, and we will investigate and try to put matters right. The seven-day period is a request to help us investigate promptly, not a deadline that removes your legal rights. 20. General These terms must be available to you before booking. By booking, you agree to the version supplied or shown at that time. We may update terms for future bookings; changes do not retrospectively alter your confirmed booking unless we both agree. These terms are governed by the law of England and Wales, without removing any mandatory consumer protections or court rights that apply to you.
